JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Office of the Vice Provost of Graduate Education and Dean of the Graduate School (OVPD) is seeking a motivated and enthusiastic professional to serve as an Administrative Support Assistant providing support to the Dean’s office.
This position serves as the front-desk receptionist/first point of contact in the Dean’s office, the hub for many graduate activities within the department.
Responsibilities: The individual in this role will perform the following responsibilities:
Greet and direct visitors
Answer phones and direct inquiries to appropriate individuals
Update and maintain departmental database (GPMS) and listservs
Distribute mail and maintain office supplies
Serve as OVPD’s access coordinator by distributing and tracking keys, building access, and parking permits
Submit and track facility (opp) work orders
Work closely with events coordinator and assist with Graduate School events and meetings
Maintain conference room schedules
Maintain and manage office supplies and mail room
Assist with the Dean’s office administrative processes
Education and Experience: Typically requires a High School Diploma or higher, plus one year of related experience, or an equivalent combination of education and experience.
In addition, the final candidate should have :
Proficiency with Microsoft Office or comparable software suite
Excellent interpersonal, organizational, and written and oral communication skills
Flexibility in handling and prioritizing multiple tasks
Strong commitment to teamwork and inclusiveness
